The following are guidelines and policies for submitting content to the Yellow Springs News:
General content submission policies
Events announced in the Yellow Springs News, in the Community Calendar and on the News website should take place in Yellow Springs, Miami Township or Clifton. The News may also occasionally announce events that take place in a nearby locale if the sponsoring group has roots or large groups of supporters in Yellow Springs; all announcements are printed at the discretion of the News.
The News generally only announces events that are free to attend or that request admission by suggested donation, benefit fundraising events and some low-cost events from nonprofit groups. Classes and workshops from nonprofit agencies will only be listed if admission is free or if proceeds will benefit another agency or individual. Items for sales at for-profit businesses will not be considered.
Submissions will be sorted according to category and placed in an appropriate column (i.e. Spiritual Events, Art Around Town, etc.) if applicable. Requests to print applicable submissions as standalone announcements can typically be accommodated, at the discretion of the News.
All submissions should include date, day, time and place of event, as well as contact information for organizers/sponsors of the event. (Note: those submitting may request that their contact information not appear in the announcement, but should include it so that News staff may contact them with any questions.)
Photos may be submitted to accompany announcements, but it should be noted that the limited space of the paper typically does not allow News staff to use these photos; the exception for this is the In and Around Yellow Springs column, which regularly prints submitted photos.
Submissions may be attached to emails as text files, Word files or Open Office documents, or pasted into the body of an email.
The deadline for submissions each week is 5 p.m. on Monday. Submissions may be emailed to ysnews@ysnews.com or submitted via the News website at ysnews.com/submissions. They may also be delivered by mail to the News at PO Box 187, Yellow Springs, OH, 45387, or hand-delivered to the News office at 253 1/2 Xenia Ave. in Yellow Springs. Submission of content by the deadline does not necessarily guarantee inclusion in that week’s paper, though every effort is made to include all submissions that arrive on time.
All submissions are subject to editing for length or content to suit style.
Letters to the editor submission policies
Letters to the editor may be submitted via email at ysnews@ysnews.com or at the News website at ysnews.com/submissions. Letters may also be submitted by mail at PO Box 187, Yellow Springs, OH 45387, hand-delivered to the News office at 253-1/2 Xenia Avenue in Yellow Springs, Ohio). The deadline for all submitted content is 5 p.m. on Monday each week. Letters must include the signature of the author and the author’s phone number, and should be typewritten, double-spaced, and signed if delivered by mail or in person. The News asks that letters be a maximum of 500 words in length. In some cases, letters may be published under the “Commentary” header, and those letters may be a maximum of 800 words in length.
The News reserves the right to reject or edit any letter to the editor, though significant edits will be discussed with the original author of the letter. In addition to edits for clarity or grammar, the News tries to fact check letters, although it is not the responsibility of the News to verify every claim. The publishing of letters to the editor in a specific issue is not guaranteed. The News also retains the right to headline all letters, although suggested headlines will be taken into account.
If a letter is submitted by a group or organization, it must be signed by at least one member of the group, and will be printed using the submitted name or names on behalf of the group in question; a maximum of five signatures may be appended to a letter in order to conserve space for other letters to be printed. Unsigned letters will not be accepted. Emailed letters to the editor are subject to verification by telephone. Photos are not typically printed with letter submissions, though they may be printed occasionally, subject to the editor’s discretion.
In and Around Yellow Springs policies
Contributions to the In and Around Yellow Springs column should concern people who currently have or formerly have had a relationship with Yellow Springs, Miami Township or Clifton. They may live or have lived here, work or have worked here, gone to school here, etc. Items of interest about local groups or organizations may also be submitted; businesses may submit items of interest about new hires, events, etc., but any content that could be read as advertisement will be omitted. Contributions about events/activities that take place outside of Yellow Springs will be considered for publication in this column if there is a resident of Yellow Springs, Miami Township or Clifton involved in the event.
Submissions will be published as space allows and not necessarily on a first received, first printed basis. Whenever possible, items of a timely nature will take precedence over submissions concerning events which have already occurred.
All contributions are subject to editing as to style, grammar, punctuation and length.
Photos will be accepted as original prints or high resolution .jpgs, at least 200 dpi. As a rule of thumb, digital photos should be the original, un-cropped digital files, not re-sized. Photos taken from Facebook or other websites are typically too low in quality to be used. Original print photos will be scanned at the News’ convenience, but can usually be picked up the day they are submitted or sent back.
Obituary submission guidelines
The News charges a fee for the printing of obituaries. The cost for obituaries is $5 per column inch (there are around 50 words in a column inch). This price includes the printing of a headshot. The News also prints death notices, a brief obituary containing the name of the deceased, day and location of passing and announcement of funeral or memorial services, at no cost. Announcements of memorial services run in perpetuity until the week of the event and are listed in the web and print calendars at no cost.
The deadline for content submission is 5 p.m. on Monday each week; however, every effort is made to publish obituaries that are sent after that time in the appropriate week’s issue. Obituaries may also be posted on the News website, with the permission of the submitter, if it cannot be included in the week’s issue.
